The Qinico 6-Step Sourcing Process

Most sourcing agents hand you a price sheet and disappear. Qinico runs a defined six-stage workflow from the moment your inquiry lands to the moment your goods clear customs at the destination port. One contact throughout, each step producing a deliverable you can hold us to.

Step 01 — Inquiry & Feasibility Analysis

You submit your target product, specifications, estimated order quantities, and destination port. Within 24 hours, our team conducts technical feasibility checks against current factory capacity and raw material conditions, and returns a preliminary pricing direction.

On the factory floor, this means we are already calling the plants that can realistically hold your spec — not browsing directories — so the price direction you receive is grounded in actual production reality, not a broker's guess.

You receive: initial pricing direction and an honest feasibility read within 24 hours.

Step 02 — Factory Matching & Vetting

We match your requirements against our pre-audited network of direct manufacturing plants, filtering out trading brokers. Each candidate factory is screened for true production capacity, export experience, and certification status for your destination market.

Our Ningbo team has walked these lines. We know which facilities genuinely possess the capacity they advertise and which ones cut corners when raw material prices rise. You never receive a quote from a plant we have not vetted in person.

You receive: a shortlist of vetted direct factories with indicative quotes.

Step 03 — On-Site Negotiation & Specification Locking

Our team negotiates directly with plant managers in native Mandarin. Technical tolerances, material grades, packaging specifications, customization requirements, and commercial terms are agreed and put in writing in a signed specification agreement before any production begins.

This is where a decade of factory-side experience pays off. We know how factories calculate their true margins and where the detail usually dies in translation. The specification that lands on the production line is the one you approved.

You receive: a signed specification and commercial terms agreement.

Step 04 — Production Oversight & Quality Control

Production is tracked against the agreed spec at milestone checkpoints. Pre-shipment inspections are mandatory, not optional. Before any container is sealed, you receive an exhaustive inspection dossier with high-resolution photographic and video proof.

For cold-chain food shipments, temperature records follow the goods through every handover point, from plant to port to cold store. We do not rely on factory-supplied assurances.

You receive: a pre-shipment inspection report with photo and video evidence.

Step 05 — Logistics Coordination & Export Documentation

We handle freight booking, export clearance, certificates of origin, Halal and health certificates, and the full document set your destination customs requires. Updates arrive at every milestone, not just at departure.

For food shipments, unbroken cold-chain protocols and verified temperature logging are arranged door to door. The paperwork that clears your goods at the destination port is prepared before the container leaves China.

You receive: the complete export document set and live milestone updates.

Step 06 — Destination Port Delivery & Repeat Support

We support destination customs clearance and delivery handover. Once your goods arrive as specified, we stay reachable. Most of our volume comes from buyers on their second, fifth, or twentieth order — and we intend to keep it that way.

A first order is the start of a supply program, not a one-off transaction. Repeat procurement runs smoother every time because the spec, the factory, and the lane are already proven.

You receive: a delivered order and a partner for the next one.

Cold Chain & Quality Control Governance

Quality at Qinico is governed, not assumed. Our quality control framework runs on three pillars that apply to every category we source — foods, furniture, and electronics:

• Physical Factory Audits: Candidate facilities are visited and audited before they ever quote an order. We verify production capacity, quality systems, and export track record on the ground.
• Milestone Production Inspections: Orders are inspected at agreed production milestones and again pre-shipment. Each inspection produces a dated, photographed dossier.
• Continuous Temperature Logging: For cold-chain food shipments, temperature is recorded at every handover — plant, consolidation, port loading, and destination cold store. The cold chain is held, not hoped for.

Material verifications and packaging drop tests are conducted where the spec demands them. Health and Halal certifications are arranged and verified against the issuing authority before documents accompany the goods.
